In order to conduct editing and proofreading services, I need to collect some personal information. This policy explains how I use and protect the information you give me. If you are asked for any information, it will only be used in ways stated in this policy.

I gather personal information in order to:

  • respond to your queries and requests for information

  • allow me to contact you during the editing process

  • better understand how visitors use this website

  • confirm our agreement, including terms and conditions

  • invoice you and maintain records for tax purposes

  • publish testimonials and marketing materials (with your prior consent)

 

What information do I collect?

I collect the following information:

  • name

  • email address

  • postal address

  • information pertaining to your enquiry including project details and any files you send

  • website usage information (see below section on cookies)

I use the data I collect in order to:

  • respond to your queries and requests for information

  • confirm our agreement, including terms and conditions

  • invoice you and maintain records for tax purposes. In the case of an audit, I may share this information with HMRC, or with the Information Commissioner’s Office in the case of an investigation

  • publish testimonials and marketing materials (with your prior consent).

A cookie is a small file that is sent from this website to your computer which enables your computer to be identified quickly, and allows me to see how this website is used. How do I store your personal data?

I securely store your personal data via the following:

  • password-protected computer hard drive; back-ups stored in password-protected cloud storage

  • contact form (via Google)

  • password-protected email (via Google)

 

How long do I keep your data for?

Because many of my clients work with me more than once, I do not delete data unless specifically requested to do so.

  • HMRC requires me to retain records for ‘at least 5 years after the 31 January submission deadline of the relevant tax year.’

  • If you request the deletion of your personal information, this will be erased immediately, as long as I am complying with HMRC’s legal requirements.

 

With whom is your data shared?

I do not share your personal information unless required to do so by law e.g. if

HMRC elects to audit my business. Your personal information will not be sold to third parties.

 

What are your data protection rights?

Under data protection law, you have rights including:

  • Your right of access – You have the right to ask us for copies of your personal information.

  • Your right to rectification – You have the right to ask us to correct or delete personal information you think is inaccurate or incomplete.

  • Your right to erasure – You have the right to ask us to delete your personal information.

  • Your right to restriction of processing – You have the right to ask us to limit how we can use your personal information.

  • Your right to object to processing – You have the right to object to the processing of your personal data.

  • Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you.

  • Your right to withdraw consent – When we use consent as our lawful basis you have the right to withdraw your consent at any time.

 

You are not required to pay any charge for exercising your rights. If you make a request, I have one month to respond to you.
